How a Pop-Up Cafe Doubled Event Sales with Mobile POS and QR Code Payments

This is a composite case study based on common patterns we see among UK pop-up and event food businesses using Aphelios Software. Names and specific figures are illustrative.
The Problem: Queues Lost Customers and Revenue
Tom runs a speciality coffee pop-up that appears at events across Manchester: food markets, music festivals, Christmas markets, and corporate events. His setup was simple: a portable coffee machine, a budgeting spreadsheet, and a card reader. But every event had the same problem. At peak times, the queue would grow to 15-20 people and Tom could serve at most one customer per minute. He watched people walk away rather than wait. He estimated he was losing 20-30% of potential revenue to queue abandonment.
On top of that, he had no way to track which drinks sold best at which event, no way to predict how much stock to bring, and no way to take payment without his card reader. If the battery died or the signal was poor, he was stuck writing IOUs.
The Solution: Mobile POS with QR Code Ordering
Tom started using Aphelios Software on his phone. His new setup weighed nothing extra and cost almost nothing:
- Menu as product catalogue: Tom set up each drink as a product with a price and a barcode. A flat white, a cold brew, a pastry, each had its own entry.
- QR code ordering: Tom printed a simple sign with a QR code. Customers scanned it with their phone, saw the menu, paid via Stripe (Apple Pay or card), and received an order number. Tom saw the order appear on his phone screen and made the drink while the next customer ordered.
- Barcode scanning for repeat orders: For counter service, Tom used his phone camera to scan a printed barcode menu, adding items to the sale in under a second.
- Real-time stock tracking: Every sale deducted the ingredients. When Tom was running low on oat milk, the system alerted him before he ran out.
The Results at the Next Event
- Sales doubled from £800 to £1,650 at a single-day food market. QR code ordering meant customers could order and pay without queueing. Tom focused on making drinks instead of processing payments.
- Queue abandonment dropped to near zero. The QR code sign allowed Tom to serve multiple customers simultaneously. People ordered from their phones while waiting.
- No more sold-out guessing. With real-time inventory, Tom knew exactly how many shots of coffee he had left at any moment. He stopped running out of popular items and stopped over-ordering unpopular ones.
- Event profitability became clear. After three events, Tom could see exactly which events were worth attending. One corporate event generated £350 in profit after fees, while a Saturday market generated £1,200. He reallocated his time to the higher-return events.
The Setup Cost
Tom's total hardware cost was zero. He used his existing phone for the POS and QR code ordering. The printed sign cost 50p. His monthly software cost was £29.99 for the Starter plan, and Stripe payment processing was 1.5% + 20p per transaction. Compared to his previous card reader that charged 1.75% and required a separate terminal, he saved on both hardware and fees.
What Tom Says Now
"I used to dread the lunch rush. Now I actually look forward to it. The QR code system means I take payment before I even touch the coffee machine. By the time the customer reaches the front of the physical queue, their drink is ready. I doubled my revenue at the same event with the same equipment. The only thing that changed was how I took orders and tracked stock."
Tom is now expanding to a second pop-up location and uses Aphelios multi-location inventory to manage both sites from one account.
